Information and guidance to Mosaic

Mosaic

Mosaic is the main database for Adult Social Care and for Childrens services. It's a records and finance management system.

This Mover/Leaver process has been developed to reduce the risk of any data breaches across ASC, and to ensure that outstanding workflow attached to workers who have moved or left the service are addressed in a timely way. The formal process can be viewed here

 

  • If you manage a member of staff that is moving teams/services in Camden, and either no longer needs to retain their access or their access levels need to be amended, then please complete the ASC Mosaic Change form and send this directly to Sandra Oweka, Mosaic trainer ([email protected]). If the worker continues to access Mosaic/ accesses it at the level they no longer require, then we will consider this a data breach.

 

  • If you manage a member of staff that is leaving the service/Camden, and therefore needs to be removed from the system/their account needs to be closed, then please email Sandra Oweka directly and as soon as possible. The manager will have up to 2 weeks from the worker's leaving date to remove any outstanding workflow, before this is then reassigned to them. All workflow and allocations need to be removed, for the worker's access to end. This is simply in relation to Mosaic however, and does not replace the usual IT leaver form process you will need to complete for IT's purposes.

 

  • If you manage a member of staff that is going on parental leave or a career break, the leaver process above still applies. Please notify Sandra Oweka and ensure workflow and allocations are reassigned or completed, so the worker can be removed from Mosaic. When the worker returns, please inform Sandra so Mosaic access can be reinstated. The worker may also wish to have a refresher training session.
  • Please note: previously, HR's policy was for all those returning to work after parental leave or long term sick leave (3+ months or longer), to complete a new DBS application (regardless of whether their existing DBS had expired or not). This is now NOT their policy. All existing valid DBSs will be sufficient for HR. However please check that while your staff member was on leave that their DBS did not expire, as if so, this will need to be organised prior to their return. Organising this in advance will prevent delays in reinstating Mosaic access.
