Information and guidance to Mosaic

Mosaic

Mosaic is the main database for Adult Social Care and for Childrens services. It's a records and finance management system.

Summary of requesting Mosaic access process:

  1. New starter will be required to complete the mandatory Mosaic e-learning module (information in the next tab)
  2. New starter will need to sign an AUP (Acceptable Use Policy) and send to HR.
  3. Manager of new starter ensures copy of DBS has been provided to HR.
  4. New starter's manager is required to complete the ASC Mosaic Application Form and send to Mosaic trainer, Sandra Oweka.
  5. a) IF TRAINING IS REQUIRED: Manager/new starter to liaise with Sandra to schedule a Mosaic training session. For practitioners, a full day training is held every other Wednesday. For other specialist training around one particular area/team, a one to one session will be organised when required. (For more information, please see third tab, Levels of Access and Training). Once training is completed Sandra will request for the new starter to have access to Mosaic b) IF TRAINING IS NOT REQUIRED: Once Sandra has confirmed the above has been completed, she will request for the appropriate access to be provided with IT.

AUP:

All new starters are required to complete an AUP form, whether internal or external staff. The new starter will need to read and sign this (can be completed electronically), and send it to the HR email address on the bottom of the form ([email protected]). HR will need to confirm that they have received this, before Mosaic access can be organised.

DBS:

Due to the confidential nature of Mosaic, Camden’s Safe Staff team (HR) will complete DBS checks for all new starters. This applies for every worker who has access to Mosaic (regardless of what type of access, or whether they’re internal or external).

If we are unable to verify a valid DBS with the Safe Staff team, we cannot proceed with providing Mosaic access. This also includes DBS renewals every three years.

The new starter's DBS must be in line with their job role. If their role isn’t subject to a Standard or Enhanced DBS we will undertake a Basic DBS check to allow access to Mosaic.

(Please note, we would expect an Enhanced DBS with adult barred list check for ASC practitioners).
