Voids management

This procedure is part of the Council’s Voids Policy. It sets out what needs to be done to get a void property ready for a new tenancy. The Voids Policy explains our approach to repairing and letting void properties to our residents, most importantly housing applicants, in a way that clearly sets out the standard of service that can be expected. This procedure on the other hand focuses directly on what needs to be done by Council officers and contractors, when and by whom.

NEC process

NEC starts the voids process in response to two trigger actions;

  • Entering an ‘Expected End Date’ to the current tenancy where the property is not yet void but is expected to be at some point in the future or;
  • Where the property is void and the tenancy is terminated in NEC (Tenancy Termination)

These two actions create a Void Instance (the property status in NEC should show as Void).

Confirming the Void Instance puts the property on a Void Path – Introductory (Preparation Stage).


Void Paths, Classifications and Status

A Void Path sets up several pre-determined Void Events (some with target dates) which need to be updated/confirmed as the void progresses (we can set target dates if we want to). The Void Path and Void Type are both generally determined by the Voids Manager or, more often, by the creation of a void repair on Rapid which pre determines what void path is updated on NEC (either CBMV or RFTV) for the majority of voids. If a void has either of these two void paths it should not be amended to another as this may interfere with a contractor being paid.

The key role in the NEC process is the Void Manager ensuring that the Void Type is kept up to date should anything change e.g. further void works are identified (new kitchen/bathroom, structural issues are uncovered etc).
