Tenant requests

This section gives examples of questions frequently asked by tenants, which may not be covered elswhere in the Hub.

Can I have a copy of my housing file?

People have this right and can make a request verbally or in writing.  We have one month to respond.

Ask the tenant if there are specific documents they need which will save copying the whole file and also if they would prefer a paper or scanned copy.

Check the file first before sending to remove any information from a third party.

Because of the GDPR we don't charge a fee for this in most circumstances.  

We can only charge a “reasonable fee” if:

  • it is manifestly unfounded or excessive; or
  • someone requests further copies following a request.

The reasonable fee is the administrative costs of dealing with the request.

We can also refuse to deal with a manifestly unfounded or excessive request.

Check with records management if you are unsure whether we should charge or comply.
