Here is the full EMTA guidance with instructions on how to do a search for EMTA on NEC.

Searching for and reserving an EMTA

If satisfied that all the above principals have been met, and the move agreed, you can do a search on NEC to identify any unoccupied EMTAs.

To do a search on NEC go into “Properties” then “advanced search” (the magnifying glass top right). Scroll down to “Elements”, click to open then choose “Elements” by clicking on the dropdown and type EMTA into the box. Then click on “Attribute” and choose Y on the dropdown.  Next to "Current" click on "Yes" (to get rid of anything no longer EMTA).

 

 

then click “Search”.

This search returns all occupied and void EMTAs. To find bedsize click on the “burger” to the left of the address. This opens elements and you can then find the bedsize, floor and steps.

Checking the void is ready to be occupied

The above stages only identify what is empty, not what is ready to be occupied. To do this you need to check the void details. It is very important that you do this.

In property details click on the burger in the top right hand corner then Voids. Click on the burger to the left of the void with the most recent start date.

Then click on Void Details.

Scroll down the Voids events to see if the HBEM Handback to Estate Management field has been completed (a date in the Event Date field). In the example below we can see that it hasn’t. This means the void is still with the void repairs team

In the example below we can see that it has.


Next, to check that nothing has happened to it subsequently (i.e more repairs are needed or someone has already identified it for their EMTA) you need to check the other completed events.

The example below suggests that a void was handed back but referred to the voids team again for further repairs.

The void below suggests that it is being held for another case. In this case you know to check with Tara Cookson to see if the void is needed if there is no further update.

If in any doubt if a void has had works completed please check with either the Moving Homes Team or the void supervisor for the area.

 

Reserving the EMTA

On the assumption that all the principals apply and that your case has been agreed by a Landlord Services Manager, reserve the EMTA for your resident.

To do this you must add a NOTE to the void events. If you don’t do this then you are in danger of someone else reserving it for their resident. In the case of this happening the officer who added the update to NEC first has first refusal of the EMTA.

To add a NOTE go to the Void events, scroll down the events, click on the burger to the left of any event and chose “Create Void Event” see below example.

Click on “Event Code *” then type in “NOTE” onto the dropdown box and select the NOTE void event.


Then add in an event date as today and a comment (who are you holding for, how long for and your name etc).

Then click Save.

NB: Do not confuse the above with adding a comment here as this may not be picked up and isn’t automatically dated.
