Zoom Now Available to Everyone – But Still Not for Arranging Meetings
On 28 September, 2020 we received an email from the Chief Technology Officer about Zoom. It said that having reviewed the safety measures Zoom has put in place since April, Camden has decided that all Camden staff may now use Zoom BUT only to join meetings arranged by other people or organisations. We still do not have permission to arrange meetings on Zoom.
This means from 28 September 2020, you may join a work meeting on Zoom any time, but may not arrange a meeting on Zoom.
There may be exceptional circumstances where you could now be given permission to arrange a meeting on Zoom. For example if accessibility for external partners has been problematic or where our partners have had a very strong preference for Zoom.
If you want to arrange a meeting on Zoom, please contact Nana Barfi-Sarpong, Chief Technology Officer (on Outlook) and ask for permission.
If you do arrange a meeting on Zoom, please follow the specific instructions Nana gives you to ensure the safety of all participants on the Zoom call. if you are unclear on those instructions, please seek clarification before you arrange the meeting. On 22 April 2020, we were informed to stop using Zoom for any work-related meetings. Here is a link to the email confirming this
IMPORTANT NOTE: AT 22 APRIL 2020 WE WERE INSTRUCTED TO STOP USING ZOOM FOR ANY WORK RELATED MEETINGS OR CALLS.
THIS SUPERCEDES THE MESSAGE BELOW RECEIVED ON 2 APRIL 2020 WHEN THE BOROUGH SOLICITOR INSTRUCTED ALL STAFF TO STOP USING ZOOM FOR COMMUNICATING WITH SERVICE USERS.
THE INFORMATION BELOW IS HERE FOR REFERENCE ONLY.
The borough solicitor has asked us to STOP using ZOOM to communicate with clients or to host meetings involving clients as it is not secure enough yet. IT are looking into this and will advise us if/when it is safe to use.
Despite this, the NHS and Courts currently use ZOOM, so we should continue to communicate with them for professional-to-professional discussions using ZOOM.
Staff must use Skype for all meetings and calls involving clients.
WHATSAPP can also continue to be used as it has end-to-end encryption and is therefore secure.
Staff are reminded to always use their work mobile, NOT their personal mobile.
Staff should also ask clients to download the app on their devices- it is a free App that can be obtained from any app store.
As in additional safeguard we should ensure that during client contacts or meetings all participants (clients and professionals) are reminded not to disclose any identifying data during the conversation including:
- Full names
- Addresses
- Phone numbers
- DOB
- Names of Schools/Nurseries/Colleges
